Getting started

Do my workers need to download an app?

No. They open the invite email, set a password and use Neo Shift in their phone's browser. They can add it to their home screen so it opens like any other app.

How long does setup take?

Most of the work is entering your team. Already have a spreadsheet? Import your workers, their clearance expiry dates and your participants from a CSV file in a few minutes, and check the list before anything is saved. Typing ten workers in by hand takes about fifteen minutes. There's nothing to configure first, and a checklist guides you to your first roster.

Can it handle sleepovers and overnight shifts?

Yes. A shift from 10pm to 7am is one shift. The 10-hour break check and weekly hours limits take overnight shifts into account.

What happens when a worker can't make a shift?

They tap Can't make it on the shift and say what's happened. Owners, admins and coordinators get an email, marked urgent if the shift is within 24 hours. The worker stays on the shift until you decide, so a participant is never left without support by accident. Neo Shift lists the workers who pass every check for that shift. Give it to one of them in one tap, or post it as an open shift and the workers who could take it are told.

Compliance and audits

Does Neo Shift check NDIS Worker Screening with the government?

Not directly. You record each worker's check number and expiry date, and Neo Shift tracks it from there. It stops that worker being rostered once a required check runs out, and warns you 30 days before.

What do workers see about a participant?

On their own shifts, workers see the participant's support profile: goals, how they communicate, known risks and what to do, routines and an emergency contact. If someone has a behaviour support, medication, mealtime, transfer or seizure plan, the worker gets clear guidance to read before they start. Medication and transfers also need the matching training on file, so untrained workers can't be booked. Workers never see profiles for shifts that aren't theirs. Neo Shift reminds you to review each profile at least once a year.

What if a participant doesn't want a particular worker?

Add that worker to the participant's list of workers they'd rather not see. Neo Shift won't let that worker be rostered with them, even by accident.

Where is my data stored?

Contact us to confirm the hosting region for your account before entering sensitive records. Each business has its own access boundary, and workers see the shifts and details their role allows.

Will Neo Shift help us at audit time?

It keeps the records auditors commonly ask for in one place: each worker's screening check and clearances with expiry dates, induction, who supported each participant and when, hours worked and a history of changes nobody can edit. It supports your obligations but doesn't replace them. You still verify each clearance and keep your own policies.

How long is roster history kept?

For as long as your account is open. Sent shifts are never deleted by the app: cancelled shifts stay on the record, marked cancelled. The activity log can't be edited or deleted by anyone.

Who gets reminded when a clearance is about to run out?

Owners, admins and coordinators get an email 30 days before, 7 days before and on the day. The worker sees a nudge in their app from 30 days out.

Does Neo Shift record progress notes?

Yes. Workers write a shift note when they clock off, and every note appears on the participant's support history with the worker's name and times. Notes are required before clocking off. Submitted worker records are retained; corrections are added as new notes.

How do incident reports work?

Anyone on your team can report an incident from their phone. Owners, admins and coordinators get an email straight away. Deaths, serious injuries, abuse or neglect, unlawful contact or sexual misconduct, and some restrictive practices are flagged as possibly reportable, with the NDIS Commission's timeframes. You notify the Commission through its own portal, then record the reference, your review and the outcome in Neo Shift. Reports can't be deleted.

Pay and pricing

Does it calculate pay or SCHADS award rates?

No. Neo Shift records the hours actually worked, flags any that differ from the roster, and exports approved hours as a CSV for your payroll system. It never shows pay rates, costs or funding to anyone.

What happens after the free month?

New providers get their first calendar month free, then Starter is A$49/month for up to 10 active support workers, Business A$99 for 11–30, or Scale A$179 for 31–75. Prices exclude GST; admins and coordinators are included. Subscribe by card in Settings, then Billing; nothing is charged until your free month ends, and you get Australian tax invoices. If you don't subscribe, you get 14 days of reminders, then your records become view-only (you can still export everything).

Do support workers cost extra?

No. Every staff member gets the worker app. There's no separate charge for it.

What happens if I stop using Neo Shift?

Your data is yours. Export your timesheets at any time, and email us if you want everything else. There's no contract to break.
